    Request a Letter of Invitation

    NAVC Events

    If you're traveling to a NAVC event from outside the United States and need a formal invitation to support your U.S. visa application, request it here. NAVC's International Relations team reviews every request and emails the letter to you.

    One request per traveler. Everyone who is traveling needs their own letter, including a spouse, guest, or child. When you finish, you can start the next traveler's request with the event already filled in.

    Before you begin, have ready:

    • Your passport
    • The confirmation number for this traveler's registration. In a group registration, each person has their own.
    • For a guest or child: the name of the registrant they are traveling with
    • The embassy or consulate where you will apply for your visa
    • A clear photo of the passport page that shows your photo, name, and passport number

    It takes about five minutes. We review requests within 3–5 business days.

    Registration

    Tell us who this request is for and how they are registered for the event.

    Guests and children: use the confirmation number from your own registration, then enter the name of the registrant you are traveling with. The letter names that registrant, so enter their name the way it appears on their registration.

    Enter everything exactly as it appears on the passport, including accents and hyphens. The letter is built from what you type here, so spelling matters.

    Check your passport expiration date. Most consulates require a passport that stays valid for at least six months after the event ends. If yours expires before then, plan to renew it before you apply for a visa. You can still submit this request; if a renewal is already scheduled, tell us in the notes on the Passport step.

    Addresses and contact

    Write addresses the way you would at home. We email the letter to the address below, so please double-check it.

    For the embassy or consulate, include the city and country, for example U.S. Embassy, Rome. The letter is addressed to it.

    Passport details page

    Upload a photo of your passport details page. We use it to check your request. It isn't printed on your letter.

    Send: the one page with your photo, name, and passport number. Lay the passport flat, get all four corners in the frame, and make sure the text is sharp with no glare.

    Don't send: the cover, both open pages, a cropped photo of your face, or a PDF scan.

    File type: a JPG or PNG photo. HEIC files and PDF scans won't upload. On an iPhone, choose the photo from your Photos and it uploads as a JPG. If you have a HEIC file on a computer, open it and save or export it as JPG first.

    Review and submit

    Use Back to check anything on the earlier steps. After you submit, we review your request within 3–5 business days and emails the letter to you.

  • How NAVC uses this information

    What we collect. The details on this form, including your passport number, date of birth, nationality, addresses, and a photo of your passport details page.

    Why. Only to prepare, issue, and if needed re-send a Letter of Invitation supporting your U.S. visa application for the event you selected. We do not use it for marketing and do not share it outside NAVC.

    How long we keep it.

    • Your request. Everything you submit, including the photo of your passport details page, is deleted 30 days after you submit it.
    • Your letter. If your request is approved, we keep a copy of the letter we send you for 13 months, so we can re-send it if you need it. The letter includes your details. It does not include the image of your passport. After 13 months it is deleted.
    • Our record. We keep a short record that you requested a letter and whether it was issued. It holds your name, email address, event, and confirmation number, and no passport details.

    Who can see it. NAVC's International Relations team, who review and approve requests, and the NAVC Technology staff who maintain this form. Our Customer Service team can see that a letter was issued and re-send it to this email address, but cannot see your passport details.

    Your choices. You can ask us to correct or delete your request at any time by writing to International@navc.com. NAVC is the North American Veterinary Community (Eastern States Veterinary Association, Inc.), 5144 S Orange Ave, Orlando, FL 32809.
